Privacy Policy
Last updated: October 26, 2024
This Privacy Policy explains how nvoice (“we”, “us”, or “our”) collects, uses, shares, and protects personal information when you use our invoicing platform (the “Service”). By accessing or using the Service, you agree to the practices described below.
1. Information We Collect
- Account & Profile Data: Name, email address, password hash, business details, and preferences you provide when creating or updating your account.
- Invoice Data: Client names, emails, invoice line items, totals, currency, notes, and any optional attachments you include in invoices.
- Usage & Device Data: IP address, browser user-agent, and app usage details captured for security, analytics, and troubleshooting purposes.
- Payment & Billing Data: We do not store full payment card details. Stripe processes card information on our behalf and returns tokens or identifiers that allow us to reference transactions.
2. How We Use Your Information
- Provide, operate, and maintain the Service, including invoice creation, hosted payment links, and email delivery.
- Authenticate users, secure accounts, and prevent fraud, abuse, or misuse.
- Send transactional communications such as verification emails, invoice notifications, and account alerts.
- Respond to support requests and communicate updates about the Service.
- Comply with legal obligations, financial recordkeeping, and regulatory audits.
3. Payment Processing with Stripe
nvoice integrates with Stripe to process card payments via hosted checkout sessions. When you connect a Stripe Express account, Stripe acts as your payment processor and handles card data directly. We receive limited information from Stripe—such as the payment status, amounts, and Stripe identifiers—to update invoice records. Stripe’s handling of personal data is governed by its own Privacy Policy.
4. Email Delivery with Resend
We use Resend to generate and send transactional emails, including invoice deliveries, verification codes, and password resets. Resend processes recipient email addresses and message content solely to deliver these communications on our behalf. For more details, review Resend’s Privacy Policy.
5. Data Retention
- Account information and invoices are retained while your account is active and for as long as necessary to fulfill legal and accounting obligations.
- We may preserve logs or backups for a limited period to investigate security incidents or comply with recordkeeping requirements.
- You may request deletion of your account and related invoices by contacting us; certain data may remain where retention is mandated by law.
6. International Transfers
nvoice operates from the United States. If you access the Service from other regions, your information may be transferred to, stored in, and processed in the U.S. and other countries where our service providers are located. We rely on contractual safeguards and industry-standard security measures to protect cross-border data transfers.
7. Data Security
We implement administrative, technical, and physical safeguards designed to protect personal information. These include access controls, encryption in transit, and routine monitoring. No system is completely secure; we encourage strong passwords and immediate reporting of suspicious activity.
8. Your Rights & Choices
- Update account information directly within the app.
- Request deletion of your account or export of invoice data by emailing privacy@nvoice.app.
- Opt out of non-essential communications by using unsubscribe links or contacting support.
- Residents of certain jurisdictions may have additional rights under local privacy laws; we will honor verified requests consistent with applicable regulations.
9. Children’s Privacy
The Service is not directed to children under 13 (or the equivalent minimum age in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided personal data, please contact us so we can delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via the Service or email. Your continued use after changes become effective constitutes acceptance of the revised policy.
